Data we collect

  • Contact form data: name, email, engagement interest, scope notes, and message content.
  • Correspondence: emails and call notes related to enquiries or engagements.
  • Engagement records: names and business contact details of client staff involved in fieldwork, as needed to perform the engagement.
  • Technical data: limited server logs (IP address, browser type, timestamp) and cookies as described in our Cookies policy.

We do not seek special-category personal data through the website form. Please do not submit national ID numbers, bank passwords, or payroll files via the public form.

Purposes

We use personal data to respond to enquiries, perform contracted audit work, improve site reliability, meet legal and professional obligations, and — only if you ask — send follow-up materials about engagements.

Where the Personal Data (Privacy) Ordinance (Cap. 486) and, where relevant, other applicable laws apply, we process data because you consented (form submission), because processing is necessary for a contract or pre-contract steps, or because we have a legitimate interest in operating a professional practice securely — balanced against your rights.

Retention

Enquiry records are kept up to 24 months if no engagement follows. Engagement files are retained for at least seven years, or longer if required by professional standards or dispute. Server logs are typically rotated within 90 days.

Sharing

We share data with IT and hosting providers who process it on our instructions, professional advisers under confidentiality, and authorities when legally required. We do not sell personal data.

International transfers

Our primary operations are in Hong Kong. If a processor stores data outside Hong Kong, we take reasonable steps to ensure comparable protection, including contractual safeguards.

Your rights

Subject to applicable law, you may request access to, correction of, or erasure of personal data we hold about you, and you may withdraw consent for optional processing. Contact info@datasync-net.digital. You may also complain to the Office of the Privacy Commissioner for Personal Data, Hong Kong.

Security

We use access controls, encrypted transit where supported, and staff confidentiality undertakings. No method of transmission is perfectly secure; please use agreed secure channels for sensitive ledger extracts.

Children

This site is aimed at business users. We do not knowingly collect data from children.
