This policy applies to professional accounts payable audit and related review engagements commissioned from Datasync Net. It does not cover retail products, software licences, or subscriptions — we do not sell those.

Booking deposit

A 30% deposit is ordinarily required to reserve fieldwork dates. The deposit is credited against the final fee stated in the engagement confirmation.

Full refund eligibility

You may receive a full refund of fees paid (including deposit) if:

  • We cancel the engagement for reasons within our control (conflict discovered, inability to staff); or
  • You cancel in writing at least 14 clear days before the agreed fieldwork start date, and we have not begun substantive planning beyond the initial outline.

Partial refunds

If you cancel between 7 and 13 clear days before fieldwork start, we retain 50% of the deposit to cover planning already performed, and refund the remainder of sums paid.

Cancellations within 6 clear days of fieldwork start, or after document request work has substantially begun, are generally non-refundable for the deposit. Any further sums prepaid for unfinished phases may be refunded at our discretion after deducting work already performed at the agreed fee rates.

Non-refundable items

  • Fees for fieldwork days already delivered
  • Final memos or draft findings already issued
  • Third-party costs we paid on your written instruction (for example specialised courier of archives), once incurred
  • Time spent waiting on site when agreed access was not provided (charged as worked time under the engagement letter)

Work already started

Once voucher testing or formal walkthroughs have started, fees for completed stages are due. Unused future stages may be cancelled with a partial refund assessed against remaining unperformed work.

Rescheduling

You may reschedule once without penalty if you give at least 10 clear days’ notice and alternative dates within 60 days are mutually available. Further reschedules may incur a HKD 2,500 administration charge.

No-shows

If key client contacts are unavailable on agreed fieldwork days without timely notice, those days remain chargeable. We will attempt to redeploy the team to desk-based testing where documents allow.

Processing time and method

Approved refunds are processed within 14 business days to the original payment method where possible, or by bank transfer to a Hong Kong account you nominate in writing.

Exceptions

Nothing in this policy limits rights that cannot be excluded under Hong Kong law. Engagement letters may set stricter notice periods for multi-entity projects; where they conflict on commercial terms, the signed engagement letter prevails for that project.
